2017 AGM – Board and Breed Development and Conformation Committee Elections

The 2017 AGM will have a completely different process around the election of the Board and Breed Development and Conformation Committee (BDCC) members. New governance rules came into effect on 1 July 2017 and the pathway for elections to the national bodies has changed. It is important that members understand the various aspects of the new process.

 1)    Call for nominations for vacant Board and BDCC positions

Rule 50 (6) states in part that “The Secretary shall call for nominations at least forty-nine (49) days prior to the date of the AGM.”

I would like to draw member’s attention to the fact that the notice calling for nominations was issued in error and that the call for nominations was forty-seven (47) days and not forty-nine (49) days prior to the date of the AGM as required under the rules.

The Board, after receiving external advice did consider potential implications of this error as well as practical options but have decided to continue with the election process as it currently stands. Further information will be provided to members in the notice of meeting prior to the AGM. 

 2)    Appointment of Returning Officer

The Board has appointed an independent Returning Officer to oversee the return of ballots and scrutiny of results.

 3)    Distribution of Ballot Papers

As the number of nominees for both the Board and BDCC exceed the number of vacancies an election by postal ballot is to occur. Ballot papers for the elections are currently being mailed to members.

We look forward to as many members as possible participating in the election process.

Ballots must be returned in the reply paid envelope to Holstein Australia no later than 5 pm AEST Thursday 17 August 2017.

 4)    Announcement of Results

According to the rules the results of the ballot will be announced at the AGM and recorded in the minutes of the meeting.
